This policy explains what personal information Chenexa Software collects through this website, why we collect it, who sees it, and what you can do about it. It is written to meet our obligations under South Africa’s Protection of Personal Information Act 4 of 2013 (POPIA). We have tried to keep it in plain language rather than legal boilerplate.
Who we are
Chenexa Software is a software development and IT support business based in Vanderbijlpark, Gauteng, South Africa. For the purposes of POPIA we are the responsible party for the personal information described below.

What we collect
We only collect information you choose to give us. There is no account system on this site and we do not ask for identity numbers, addresses, or payment details through the website.
When you submit the contact form: your name, email address, phone number (optional), company name (optional), the service you selected, and whatever you write in the message field.
When you subscribe to the newsletter: your email address.
Automatically: our hosting provider records standard server logs (IP address, browser type, pages requested, timestamps) for security and troubleshooting. We also run the Google Ads tag, described under cookies below.
Why we use it
Contact form information is used for one purpose: to respond to your enquiry, quote on the work, and carry it out if you decide to go ahead. Newsletter subscriptions are used to send occasional updates, and nothing else.
We do not sell your personal information. We do not share it with third parties for their own marketing. We will not add you to the newsletter because you filled in the contact form.
Who sees it
Enquiries are delivered by email to the Chenexa Software team and are stored in our internal lead management system. Access is limited to the people who need it to respond to you.
We rely on a small number of service providers who process data on our behalf: our website host, our email provider, and Google (for advertising measurement). These providers may process or store data outside South Africa. Where that happens, POPIA requires the receiving country or provider to offer comparable protection, and we rely on the safeguards those providers publish.
Cookies and tracking
This site runs the Google Ads tag, which sets cookies to measure whether an advert led to an enquiry and to support remarketing. It tells us that a conversion happened; it does not tell us who you are.
You can block or delete cookies in your browser settings, and you can opt out of personalised Google advertising through Google’s own ad settings. The site works normally with cookies disabled.
How long we keep it
Enquiries that do not become projects are kept for up to two years, so that we have context if you come back to us. Records relating to actual projects are kept for as long as we work together and afterwards where tax and company law require it. Newsletter subscriptions are kept until you unsubscribe.
You can ask us to delete your information sooner and we will do so unless we are legally required to keep it.
How we protect it
The site is served over HTTPS and form submissions are encrypted in transit. Access to enquiry data is restricted to the Chenexa Software team. No system is perfectly secure, but if a breach affects your personal information we will notify you and the Information Regulator as POPIA requires.
Your rights
Under POPIA you have the right to:
- Ask what personal information we hold about you
- Ask us to correct anything inaccurate
- Ask us to delete information we no longer have grounds to keep
- Object to us using your information for direct marketing
- Unsubscribe from the newsletter at any time
- Complain to the Information Regulator
To exercise any of these, email admin@chenexa-software.co.za. We will respond within a reasonable period and will not charge you for a straightforward request.

Changes to this policy
If we change how we handle personal information we will update this page and change the date at the top. Material changes to how we use existing information will be communicated directly where we have a way to reach you.
